Business Travel Show America takes place at the Javits Center New York City, on October 14-15, 2026

Fully Hosted Buyers are required to attend both days and complete other requirements. Semi-Hosted Buyer and Visitor Buyers are options for anyone who wants to attend only 1 day of the exhibition. You can read about the different attendee types and requirements here.  Program Overview.

Fully Hosted Buyer participation includes the following complementary benefits:   

  • Two-day registration 

  • Up to $400.00 USD transportation reimbursement. This can be applied to airfare, train, parking, or ground transportation. Additional reimbursement details can be found in the Travel Policy.   

  • Standard room at a 4-star hotel in Times Square New York City on October 13 and 14 (room and tax only, with incidentals on your own) 

  • Bus transportation to/from Times Square to the Javits Center on October 14 and 15 

  • Hosted Buyer Welcome Event on Tuesday Evening October 13  

  • Continental breakfast and lunch on October 14 and 15 at the Javits Center 

  • Access to the hosted buyer lounge on the Expo Floor on October 14 and 15 at the Javits Center 

Semi-Hosted Buyer participation includes the following complementary benefits:   

  • One or Two-Day Registration 

  • Attend Hosted Buyer Welcome Event at Swingers on Tuesday Evening October 13 

  • Continental breakfast and lunch on October 14 and 15 at the Javits Center 

  • Access to the hosted buyer lounge on the Expo Floor on October 14 and 15 at the Javits Center 

  • Networking Drinks Reception 4:30-5:30 on October 14 at Javits Center 

If you cannot accept complimentary travel and accommodation, you can still attend the event as a Semi-Hosted Buyer. During the registration process, simply do not select that you would like us to book your airfare and hotel accommodation. Or you can attend as a visitor buyer, which gives you access to the event content and exhibitors.

Fully Hosted Buyer Cancellation Policy (Travel Insurance is highly recommended)  

  • At the approval of event management, a qualified substitute may attend the event as your replacement to avoid penalty. 

  • Hosted buyers canceling participation before July 15, 2026, will incur a $500.00 USD cancellation fee 

  • Hosted buyers canceling participation between July 16, 2026 – October 13, 2026, will incur a $1,000.00 USD cancellation fee 

  • Hosted buyers who do not meet all the requirements, attend the event in its entirety or no-show, will incur a $2,500.00 USD fee 

Fully Hosted Buyers are eligible to receive up to $400 USD transportation reimbursement. You can read more about the booking and reimbursement process in our Travel Policy.  

Reimbursement will be issued within 3-4 weeks after Fully Hosted Buyers: 

  • Successfully attend both required event days (October 14-15) 

  • Complete the required 10 exhibitor appointments with the exhibitors of their choice 

  • Attend all required sessions:

  • Business Travel Innovation Faceoff Part 1  

  • Day 1 Expo  

  • Day 1 General Session & Networking Drinks Reception  

  • Business Travel Innovation Faceoff Part 2  

  • Day 2 Expo 

If you need to change your flight, please contact the airline directly where you originally booked your ticket. Please note that changes to flights are subject to availability and buyers will be responsible for any additional costs incurred.   

If you need to change your hotel, please contact our team at hosted@businesstravelshowamerica.com. If further nights’ accommodation is required, this will be up to the hosted buyer to book and pay for these extra nights.
