Eligibility

Fully hosted Semi-hosted Day hosted

Attend Tuesday evening (October 14), all day Wednesday (October 15), and all day Thursday (October 16).
Benefits:

  • Travel reimbursement up to $400 USD (airfare, rail, or local transportation)
  • Two nights hotel accommodation (October 14 & October 15)

Attend Tuesday evening (October 14) and all day Wednesday (October 15).
Benefits:

  • One night hotel accommodation (October 14)

Attend Thursday only (October 16).

No travel reimbursement or hotel accommodation provided

Additional Notes on Reimbursement

  • Travel reimbursement applies to airfare or rail travel up to $400 USD.

  • Local buyers may claim up to $400 for transportation to/from the Javits Center (including train, Uber, car service, or parking).

  • Hosted Buyers attending only one day (including Day Hosted) are not eligible for travel reimbursement.

Booking Process

  • Hosted Buyers must book their own transportation.
  • After booking, upload travel details to the Ramp portal, which will also be used to submit your reimbursement request.
  • BTN Group will provide hotel booking details after receiving your travel receipt and reimbursement request.

Reimbursement Process

Reimbursement will be issued within 2–3 weeks after you:

  1. Successfully attend all required event days for your eligible option
  2. Complete the required number of exhibitor appointments
  3. Attend all required sessions
  • Submit your reimbursement request through Ramp by October 31, 2025.

  • Requests submitted after this date will not be accepted.

Important Notes

  • Hosted Buyers are responsible for managing any changes or cancellations directly with their travel provider.
  • Any change fees or penalties incurred are the sole responsibility of the Hosted Buyer.

BTN Group reserves the right to amend, update, or withdraw this policy, including eligibility requirements and reimbursement amounts, at any time without prior notice.

Key terms to be aware of

Travel reimbursement: You will be responsible for booking your own travel and will receive a reimbursement for up to $400.00 USD post-event

Accommodation: The event team will secure your hotel reservation and provide you with a confirmation of where you will be staying, where applicable. 

Scheduling appointments: An online appointment system will open the week of August 18 . You will be required to access the system and schedule a minimum of five 15-minute appointments (each day) with exhibitors of your choice.  

Cancellation / No-Show: Hosted Buyer cancellation and no-show policy outlined below:  

At the approval of event management, a qualified substitute may attend the event as your replacement to avoid penalty. Travel insurance is highly recommended. 

  • Hosted buyers canceling participation before July 15, 2025, will incur a $500.00 USD cancellation fee
  • Hosted buyers canceling participation between July 16, 2025 – October 14, 2025, will incur a $1,000.00 USD cancellation fee

  • Hosted buyers who do not meet all the requirements, attend the event in its entirety or no-show, will incur a $2,500.00 USD fee

Other expenses: You will be responsible for any additional expenses (such as gratuities, insurance, phone charges, ground transportation, and meals) beyond those identified above.
